Property Maintenance Management

Offering a range of services tailored to meet the needs of our Management Companies taking into account affordability, consistency of service and prompt response times.
  • Weekly visits to the development to check all common areas.
  • Completion of site visit checklist and issue of same to Board of Directors appointee.
  • Coordination of repair work as required.
  • The Board of Directors will be consulted on any capital expenditure items which are not included in the budget.
  • Providing specifications for contractors on capital works, ensuring insurance compliance of contractors, Health and Safety best practice, and coordination of works.
  • Scheduling, as required, all routine maintenance and repair work such as lift maintenance, fire alarm and emergency lighting, pump maintenance, water filtration, etc.
  • Sign off on maintenance and repair work carried out by contractors.

Financial & Statutory

Completing Every Step Needed to Ensure Your Management Company Remains Compliant on All Statutory matters.

Financial Requirements

  • Detailed financial reporting to the Management Company, as required, on all Income and Expenditure, debtors, creditors and bank accounts.
  • Maintenance of the Management Company’s accounts and settlement of the day to day expenditure to include payment of all contractors and receipting all service charge payments.
  • Preparation of budget to include quotations from service providers. Review of budget with Directors.
  • Issuing of service charge demands and collection of same.
  • Application of interest to outstanding accounts and follow up on legal action required to recover same.
  • Liaising with Auditors on completion of audited accounts and Companies Registration Office compliance.
  • Dealing with Revenue Commissioner on Corporation Tax issues.

Statutory Requirements

  • Accepting responsibility in co-operation with the Secretary of the Management Company for preparation of the ‘Statement of Accounts’ and the Agendas for the Management Company AGMs and EGMs.
  • Attendance at all AGM’s and EGM’s and chairing of same, if required.
  • Keeping minutes of AGM’s, EGM’s and circulating these to all members once they have been approved by the Board of Directors.
  • Quarterly meetings with the Board of Directors/Committee
    Keeping minutes of quarterly Board of Directors meetings and circulating same to all Board Members.

Administration

Taking Care of all day to day management of all internal and external common areas and carparks.

Communication

  • Effectively and quickly resolving all queries and issues arising from owners and tenants relating to common areas.
  • Regular reporting to the Board of Directors on such matters
  • Regular communication with residents and Board members via Newsletter or Notices on matters such as Security, Fire Alarm Service, Window Cleaning & Painting

Insurance

  • Sourcing competitive quotes for annual block policy insurance, lift engineering insurance and Directors and Officers Liability insurance.
  • Administration of all insurance claims.
  • Issuing indemnity letters to owners
  • Dealing with all matters arising from Risk Assessment Inspections and ensuring the development is compliant with all insurance requirements.
